Referrals
Our specialists require a valid referral before scheduling an appointment. Please email your referral along with any relevant test reports in PDF format to our clinic. The documents must be legible and include all pages. For submissions of three pages or fewer, clear photos of each page are acceptable.
Referrals are triaged by our doctors, and our reception team will contact you to arrange an appointment. Please allow up to 10 working days for triage. If you have not heard from us within two weeks, call us at 02 6152 8998.
Appointment Confirmation
Once you receive an SMS reminder, it is essential to confirm your appointment promptly. This allows us to accommodate patients on our cancellation list or those with urgent referrals. If you no longer need your appointment, please cancel as early as possible so others can be seen in your place.
For high-demand specialists, unconfirmed appointments may be reallocated to urgent cases if we cannot reach you after sending an SMS and attempting to call.
Appointment Cancellations & Non-Attendance
We require a minimum of 48 hours’ notice for the cancellation of specialist appointments. Cancellation fees vary by specialist, and any outstanding fees must be paid in full before a new appointment can be scheduled.
Cold and Flu Symptoms
If you experience cold or flu symptoms, contact our reception team before your appointment. You may be required to wear a mask or reschedule if symptoms persist.
Referral Expiry
It is the patient’s responsibility to ensure a valid referral is in place for your appointment to receive Medicare rebates. GP referrals are typically valid for 12 months, while specialist referrals are valid for 3 months. If unsure, contact our reception team for assistance.
On the Day of Your Appointment
Appointments may run behind schedule due to varying patient needs. We appreciate your patience and recommend keeping a flexible schedule on the day. You may call reception 30 minutes prior to confirm if your specialist is on time. For obstetric patients, specialists may leave the clinic for labor-related emergencies. If this occurs, we will notify you promptly to adjust your appointment or reschedule.
Scripts
For prescription requests, email us with the medication details and your preferred pharmacy name and location for pickup. A script fee of $40 applies and some specialists may require an appointment. This may take up to 2 weeks. For immediate prescriptions, book an appointment with your GP.
Accounts
Our specialists do not bulk bill or issue accounts. Accounts must be settled on the day of service. If you are unsure about fees, contact us before your appointment. Payments can be made via debit or credit card, excluding AMEX and Diners Club. No surcharge applies. Unpaid accounts exceeding 5 business days will incur a $50 late payment fee.
Code of Conduct
We maintain a Zero Tolerance Policy for aggressive behavior or unrealistic demands. While we strive to meet our patients’ needs, we operate within limitations. All patients will be treated with respect and courtesy, and we expect the same from you and anyone contacting us on your behalf.
Unacceptable behavior, including threats and verbal abuse including using swear words (via email, phone, or in person), will result in discharge from the practice.
